When you would use this
A receipt is the counterpart to an invoice and does the opposite job. An invoice says money is owed; a receipt confirms it arrived. The person who needs it most is usually the payer, who wants proof for their own records, their accountant, or a landlord who might one day forget.
Date it when the money arrived, not when you wrote the receipt. This sounds pedantic until a payment lands on the thirty-first and the receipt says the first, at which point it falls in the wrong month for two sets of accounts. If you are writing it up later, use the date on the bank statement.
Say what the payment was for and, where it matters, what it leaves outstanding. “Payment received” is nearly useless six months later. “Second instalment against invoice 2026-014, balance 150,000 remaining” answers the question the receipt will actually be dug out to answer. Part payments in particular should always state the remaining balance, because that is the number people disagree about.
Record the method too — cash, transfer, cheque number. For cash it is close to essential, since a cash receipt is often the only record that exists on either side. For a cheque, the number is what lets anyone trace it if it bounces or goes astray, and a receipt for a cheque is properly an acknowledgement of the cheque rather than of cleared funds. If that distinction matters to you, say so on the document.
Receipts should be numbered in their own sequence, separate from your invoices. They are counted differently, they are often requested individually, and mixing the two sequences makes both harder to reconcile at year end.

- Should I record how it was paid?
- Yes — cash, transfer, or cheque number. For cash it is often the only record either side has. For a cheque, note whether you are acknowledging the cheque or cleared funds.
- Is anything stored?
- No. It is generated in your browser and nothing is transmitted or kept. Save the PDF you download.
